Description

We are looking for a flexible, proactive, and multi-tasking person who loves working with people just as much as handling administrative tasks. As a key player in day-to-day operations, the front desk administrative assistant will contribute to the success of the company, support our teams, and play an active role in making our employees’ experience a positive one.

If keeping everything organized, providing excellent service, and playing an active role in operations are your cup of tea, this position is for you.

Responsabilities

Administration and Operational Support

  • Provide professional customer service, both in person and over the phone.
  • Place orders and manage office supplies.
  • Keep internal administrative tools, records, and documents up to date.
  • Prepare and follow up on administrative requests (mail, account statements, ARQs, etc.).
  • Support the administrative team and management with day-to-day needs.

Support for hiring and onboarding

  • Receive and review applications.
  • Make first contact with candidates.
  • Schedule interviews with the relevant managers.
  • Coordinate the onboarding of new employees: welcome, preparation of materials, integration, and follow-up.

Internal communications and employee experience

  • Support internal communications and publications for employees.
  • Help organize internal events and initiatives for the Employee Experience Committee.
  • Help foster a motivating and positive work environment.

Logistical support

  • Prepare job site kits according to the teams’ needs.
  • Manage the inventory of equipment and company-issued clothing.
  • Ensure the distribution of equipment and documents necessary for operations.

Required profile

  • Excellent organizational skills and ability to prioritize effectively
  • Attention to detail, independence, and a strong sense of responsibility
  • Strong customer service orientation and excellent communication skills
  • Ability to efficiently manage multiple tasks simultaneously
  • Proficiency in Microsoft Office (Outlook, Excel, Teams)
  • Discretion, professionalism, and a team-oriented attitude
